Overview

This guide explains how to integrate Workday Assessments with StackOne, enabling seamless management of assessments within your recruitment process. It details the configuration of assessment categories, tests, and statuses in Workday, as well as the setup of webhooks and integration systems. By following these steps, you will ensure automated assessment workflows and reliable synchronisation of results between Workday and StackOne.

Partner Requirements

There are no formal partnership requirements to configure and utilise the assessment feature with Workday; however, you must have administrative privileges for your Workday account.

Navigate to the Maintain Recruiting Assessment Categories page and add a new assessment category named Technical Assessment Test.

Navigate to the Maintain Recruiting Assessment Tests page and add an assessment test called Technical Assessment.

Enter the test name, select the assessment category created in the previous step, and choose the StackOne_IS_System integration system generated from StackOne.

Edit or retrieve the Assessment Test ID

Click the three-dot menu, select View IDs to view the ID, or Edit Reference ID to modify it.

Use of the Assessment Test ID

You will need the Assessment_Test_ID (for example, RECRUITING_ASSESSMENT_TEST-6-111) for the notification payload configuration.

Create Assessment Status in Workday

Create an Assessment Status

Navigate to the Maintain Assessment Statuses page and add a new assessment status. You can name it Invited or choose another name.

Enter the status name, and tick the overall status and test status boxes. Click OK, then Done to save and confirm.

Edit or retrieve the Assessment Status ID

Click the three-dot menu, select View IDs to view the ID, or Edit Reference ID to modify it.

Use of the Assessment Status ID

The Assessment Status ID is used for sending assessment invitation notifications. Ensure this ID is set to Invited, regardless of the status name you have provided.

Job Requisitions within the Supervisory Organisation in Workday

These steps assume you already have a Supervisory Organisation in your Workday account. If not, please contact your administrator to create one.

Listed Job Requisitions

Navigate to your Supervisory Organisation page and go to the Staffing tab.
Ensure the Supervisory Organisation’s Staffing Model is Position Management.

Under the Positions with Open Job Requisition grid, you will find the list of Job Requisitions that support sending notifications for the Assessment stage via the Integration System.

No Listed Job Requisitions

If there are no jobs listed under Positions with Open Job Requisition, find Create Position under the Staffing tab in the three-dot menu.

Fill in the required details to create a position. It will then appear in the Positions without Job Requisition grid.

Navigate to Create Job Requisition, select your Supervisory Organisation and position, click OK, complete the Job Requisition form, and then Submit it.

The position will now appear in the In Progress Requisition Actions grid.

Once the job requisition is approved, it will appear in the Positions with Open Job Requisition grid and will be enabled to send notifications.

Select to update the Integration System

Navigate to the Assess Candidate Business Process page and click the Configure StackOne_IS_System button.

Edit payload attribute values

A pop-up will appear, allowing you to select the values for the fields to be included in the payload request when the Invited event is triggered from Workday.

Please fill in the following information:
  • Candidate First Name: [First Name]
  • Candidate Last Name: [Last Name]
  • Candidate Email Address: [Email]
  • Candidate Reference ID: [Candidate ID]
  • Job Application Reference ID: [Job Requisition as Text]
  • Assessment Test Reference ID: [Assessment_Test_ID for the assessment you want to send to the candidate]
Click OK to save your configuration.

Enable Workday in StackOne

Go to the ATS category on the Integrations page and enable Workday.

Complete the configuration form

Complete the required fields in the Workday - Configuration modal:
  • Authentication Type - You can select any Authentication Type to integrate with Workday.
  • Integration Category - Select Assessments.

Click Confirm or Save Changes to enable the Workday integration, allowing end-users to link their accounts via the StackOne Connector Hub.

Create a Webhook

Linking a Workday Account from the StackOne Connector Hub is optional for creating a Workday webhook for the Assessment event.
Navigate to the Webhooks page and click the + Add Webhook button to add a webhook for Workday.

Select webhook event

Navigate to the Events tab and enable the Assessment Order event from the grid.

Click the Save button to save the webhook.
To test the assessment webhook with your Workday Sandbox account, see the ATS User Enablement section to connect and configure the Integration System programmatically in your Workday Sandbox account.

ATS User Enablement

When users connect their Workday account with StackOne, an Integration System will be created in the user’s Workday account named StackOne_IS_System, along with the necessary assessment configurations. These include:
  • Endpoint URL (used to receive notifications)
  • Username
  • Password (used to authenticate each request from the user’s Workday account)
  • Assessment Status (used to send the assessment)
The user must configure the Integration step under the Assess Candidate Business Process by selecting StackOne_IS_System from the Configure Integration System pop-up.
Log in to your Workday account and search for View Integration System in the global search bar. Search for StackOne_IS_System in the prompt that opens, then click OK.

You will find the Integration System named StackOne_IS_System, with the configured Integration Attributes and Inline Assessment as an Integration Template.

ATS User Experience

After completing the configuration process, users will have an Assessment stage in the Job Requisition workflow.

When a candidate is moved to the Assessment stage, an Assess button will appear next to their name. The user can use this to send the assessment test to the candidate.

Go to the Job Requisition

Navigate to the Job Requisitions page by selecting the same Job Requisition from the pop-up where the candidate applied for the job.

Move Candidate from Review to Assessment stage

Select the candidate in the grid and click the Move Forward button.

Select Assessment from the dropdown

In the pop-up, select the next stage, which is likely the Assessment Stage. Choose Assessment in both dropdown menus.

If you go to the Assessment tab, the candidate will now be in the Assessment stage.

Send the assessment invitation to the candidate using Start Proxy

Sending via Start Proxy

If you are not the recruiter, go to the recruiter’s account via Start Proxy. Click the Awaiting Action link, and a pop-up will appear showing the recruiter’s name.

Go to the Start Proxy page and select Recruiter from the dropdown menu.

You will be taken to the recruiter’s homepage, where you need to navigate to the My Tasks page in the top-right corner.

You will find the task at the top, labelled with the Job Requisition and candidate name, in the sidebar.

Send the Assessment Invitation

Set the Overall Status to Invited and select the Assessment as Technical Assessment from the dropdown menu. Then, click the Submit button.

The user can access the candidate’s application by clicking their name.

How assessment results are displayed to the customer in Workday

When a customer opens a candidate’s application, they can navigate to the Assessment tab within the application to view the assessment details and results.

Testing Checklist

Provider Setup:
  • Logged in with an Admin account.
  • Added Assessment Categories.
  • Added Assessment Tests.
  • Added Assessment Statuses. Ensure Invited is set as the Reference ID of the status you will choose when sending the Assessment.
  • Job Requisitions are within the Supervisory Organisation with the Staffing Model as Position Management.
  • Configured the Assess Candidate Business Process with the Integration System that will be generated programmatically when the user connects Workday with StackOne.
  • Added order payload attribute values with the correct Assessment Test Reference ID.
StackOne Configuration:
  • Selected Assessments as the Integration Category.
ATS User Activation:
  • Workday account connected successfully with StackOne.
  • Check that the Integration System named StackOne_IS_System is created with the necessary assessment configurations.
  • Ensure you configure the Integration step under the Assess Candidate Business Process by selecting StackOne_IS_System from the Configure Integration System pop-up.
Create a Webhook:
  • Added a webhook for Workday and enabled it with events such as: Assessment Order.
  • Valid webhook URL to receive assessment notifications.
ATS User Experience:
  • Assessment stage is available in the Job Requisition workflow.
  • Invited status, or a status with Invited as the Reference ID, is available to select on the Assessment pop-up when clicking the Assess button.
  • In the Application > Screening tab, under the Assessment sub-tab, the sent assessment details will be available.
Update Result:
  • Success response from the update result endpoint.
  • Updated result details visible in Workday’s UI.

Troubleshooting
